  • Overview

    We are looking for a Report Coordinator to join our national Central Processing Center reporting team. The Report Coordinator assists engineers and other technical staff with the proofreading and editing of technical reports. Principal duties consist of report review, editing, formatting and distribution to client. You will support a diverse group of external clients, as well as internal contacts at all levels within the organization. This role works under minimal supervision, exercising initiative and independent judgment in the performance of assigned tasks.

    Responsibilities

    Job-Specific Administration: 

    • Proofread multiple types of engineering, architectural and fire investigative reports to ensure quality, formatting, and compliance with corporate standards.
    • Check reports for spelling, grammar, punctuation, and readability as well as cross-check information in various databases. Suggest and track all edits and recommendations. Adjust settings for format, line spacing, and other style requirements as required in accordance with company standards.
    • Transmit reports to clients.
    • Enter electronic notes in internal company database memorializing various key milestones and store documents in respective job folder.
    • Communicate with engineers/architects/fire consultants and administrative staff across the Company.

    Qualifications

    Required Education, Licensure, and Experience

    • High School Diploma with some college.
    • Minimum of 5 years’ experience in word processing role.
    • Must possess excellent grammar, business writing, editing, and proofreading skills; work requires continual attention to detail, establishing priorities, and meeting deadlines.
    • Experience with legal documents or contracts a plus.
    • Microsoft Office Certification in Word desired. Must obtain within six months of hire.

    • Must be able to handle sensitive and confidential information.
    • Must possess ability to understand departmental operations and procedures.
    • Must be able to interact and communicate with individuals at all levels of the organization.
    • Must have knowledge of a variety of computer software applications including word processing, spreadsheets, email, and presentation software (MSWord, Excel, Outlook, and PowerPoint).
    • Ability to read/write the Spanish language a plus, but not required.

    Language and Writing Skills

     

    Must have the ability to read, analyze, and understand information and ideas presented in writing. Advanced Microsoft Office required.  Advanced English language, grammar, and punctuation skills.  Ability to work under pressure and be flexible.  High attention to detail and focused. Comfortable doing repetitive work.  Must be able to respond written or verbally to job-specific and general inquiries from management, peers, subordinates, clients, and external vendors.

     

    Work Hours and Overtime

     

    This position is salaried with a non-exempt FLSA status. Regular working hours are 8:00 a.m. to 5:00 p.m., Monday through Friday, with one hour for lunch.  There will be periods where overtime will be required, which the employee will need to comply with in order to meet the demands of the position.
