Overview

We are looking to add an Office Administrator to our Columbus, Ohio, office. In this role, you will coordinate and oversee day-to-day office administrative functions, including office organization, file and records management, purchasing, mail distribution, client invoicing and accounts receivable and office maintenance and security. This position is critical in supporting the business needs of the District Manager and the administrative needs of t office personnel. You will be in charge of maximizing office efficiency, expense control and productivity. This role does not supervise other staff members. However, the level of responsibility is projected to expand with office growth and may (or may not) in the future include supervising administrative staff. You will be working under general supervision, exercising initiative and independent judgment in the performance of your duties.

Responsibilities

  • Support the business and production needs of the District Manager and the district office.
  • Relieve professional staff of routine administrative work, including preparing office correspondence, memos, resumes and presentations.
  • Answer phones and route calls and messages to office personnel.
  • Responsible for proofreading, quality control, and distribution of outgoing work documents.
  • Set up and maintain general office files, including job files, vendor files, and other files related to company business.
  • Take new job assignments and input all information correctly.
  • Track work schedules of professionals on field assignments.
  • Manage invoicing and accounts receivable. 
  • Oversee evidence storage and evidence records.
  • Assist marketing staff with database management, presentation materials, and special events.
  • Purchase office supplies, equipment, and furniture at the request and guidance of the District Manager.
  • Oversee maintenance of office facilities and equipment.
  • May cross train, assist or oversee administrative staff to ensure efficient and timely workflow.

Qualifications

  • Associates level degree of higher is desired.
  • Minimum of 7 years of experience in an administrative capacity, preferably with office management experience.
  • High level interpersonal skills to handle sensitive and confidential information.
  • Position requires demonstrated poise, tact and diplomacy.
  • Ability to understand departmental operations and procedures.
  • Ability to interact and communicate with individuals at all levels in an organization.
  • Extensive experience in MS Office, Word, Excel, Outlook and Access.
  • Excellent business writing, editing and proofreading skills. 
  • Continua attention to detail with the ability to establish priorities in order to meet strict deadlines.
